We draw on our established relationships with the major hotels in the Washington, DC metropolitan area, as well as with chains throughout the country, to negotiate the most favorable meeting room and sleeping room contracts on behalf of our clients.
Our staff members attend travel and meeting planning trade shows and industry training events in order to maintain current industry knowledge in site selection and coordination. We plan every detail with the client’s needs in mind, from the use of sleeping rooms to banquet and meeting space to audiovisual setup and food and beverage arrangements.
- Book hotel rooms at or below U.S. Government per diem rates for students, faculty, guest speakers, program leaders, and other attendees
- Communicate regularly with hotel staff regarding number of rooms needed in order to reduce or avoid cancellation charges, and concerning late check-in or emergency situations
- Develop a disaster management plan supported by onsite personnel who are trained to respond quickly in emergency situations
